Tip of the week: Set up a timeline of year-round activities

The start of the new academic year is a good time for coordinators to review their timeline of activities and to update their calendars. Coordinators can sort the most common activities by time of the year or by frequency; they are listed below.

Activities by time of year:
Fall/winter

  • Update the NRMP information
  • Access ERAS and download applications
  • Interview season

Spring

  • Inservice training exam
  • American Board application
  • National meetings
  • NRMP and Match
  • ERAS registration
  • Paperwork and information for new residents
  • Handbook and orientation
  • Exit interviews and documentation
  • Graduation
  • Program evaluations
  • Annual program evaluation

Summer

  • Resident Operative Log data reports to ACGME for surgical specialties
  • ACGME Accreditation Database System (ADS)
  • GME Track
  • Download new ERAS


Activities listed by frequency:
Quarterly

  • Medicare audits
  • Semiannually
  • File reviews with program director

Yearly

  • Annual review of the program and review of curriculum
  • Download ERAS
  • Interview season
  • NRMP and Match
  • Inservice training exam
  • American Board application
  • National meetings
  • Paperwork and information for new residents
  • Handbook and orientation
  • Exit interviews and documentation
  • Graduation
  • Program activities such as mock orals
  • Program evaluations

Ongoing

  • Review the ACGME Web site
  • Monitor program requirements
  • Schedules and work hours
  • Monitoring and tracking evaluations
  • Scheduling and coordinating grand rounds and visiting lectureships
  • Monitoring procedure or patient care encounters
  • Completing verification requests from state licensing departments and healthcare facilities
