Ask the expert: What materials are typically kept in residents' files?

The following items are usually included in residents’ files:

  • Human resources materials: Contents are institution-specific, but can include application materials, Visa information, payroll, Medicare audit information, and leave of absence and medical leave dates
  • Written documentation such as letters and e-mails between the resident and program or institution
  • Immunization records and health-related materials
  • Contracts
  • Formal letters regarding performance and evidence of formal status, including promotion to next level of training, probation, remediation, non-renewal of contract, dismissal, transfer from one program to another
  • Verification forms
  • Loan deferment paperwork
  • Completion of medical records notification
