Tip of the week: Use hospital intranet for posting emergency operations plan

When a disaster happens, hospitals turn to their emergency operation plans (EOP). It’s the plan, central to every emergency management (EM) effort, that outlines your response strategies and provides essential information to everyone from your leaders in the incident command center to staff on the hospital floors.

At Children’s Hospital in Boston, an EM website that is part of the organization’s intranet puts the need-to-know information at everyone’s fingertips.

The hospital unveiled the website about two and a half years ago, and EM director Stephen Monteiro, MS, EMT-P, calls it a work in progress that his department is always working to improve. The idea was to help people find the information they really need prior to and during an emergency.

It didn’t make sense to take the 60-page printed EOP and simply slap it up on a website, says Paula Klaman, BA, the EM communication specialist at Children’s. Instead, EM leaders dissected that large plan, looking at what kind of information is most relevant during an emergency. They considered what people need to know prior to an emergency to educate themselves and what level of information different audiences need. Klaman says she used that research to put together a sort of wire frame of how the information would look in a Web-based format. 

Staff have been able to point out information they feel is missing from the site that they could use in a disaster or emergency, such as a real estate map showing all the hospital’s properties with the name of the primary responder responsible for medical, security, and fire emergencies at each location.
