Tip of the week: Create a uniform internal review cover letter

The ACGME does not require a particular format for internal review cover letters. The letter needs to contain enough information to demonstrate that the GMEC carried out an adequate internal review based on the institutional protocol at the midpoint accreditation cycle. The cover letter does not present any results of the internal review but only documents its completion in accordance with the institution’s GMEC internal review protocol.

To ensure that your cover letter sufficiently informs the site visitor that the institution completed the internal review and met all ACGME requirements, include the following information:

  • Date of the internal review
  • Name of program reviewed
  • Names and titles of all internal review committee members
  • List of information and materials reviewed
  • List of people interviewed
  • The date that the GMEC reviewed and approved the report
  • Committee chair’s signature or all committee members’ signatures

This week’s tip is from Internal Review Made Simple by Robin E. Graham, MD, FACS.
