Ask the expert: Should the program director meet with key stakeholders before a site visit?

Three months before the site visit, program directors should schedule meetings with each stakeholder who completed a section of the PIF.
It is the responsibility of the program director to verify and clarify all of the information included in the PIF. He or she must have a clear understanding of the information each individual provided because the site visitor will ask the program director to explain all information contained in the PIF.
It is essential that the program director schedule a separate meeting with each stakeholder to review the data. During this one-on-one meeting, the stakeholder should pass on his or her knowledge of the information he or she supplied for the PIF. By the end, the program director should understand:
- The content of the information provided
- Where the information came from, especially statistical information and patient data
- How the numbers were calculated
