Resident file contents: Destroy, hold, or keep

When faced with overflowing folders and stuffed filing cabinets, program coordinators may be tempted to toss some of the documentation contained in resident files.

Discarding the wrong items can cause legal troubles for programs. Certain documents are used to verify graduates’ training, whether that’s now or in 50 years. Some files must also be available for review by risk management if a resident becomes involved in a lawsuit; the records can even be subpoenaed.

Despite these high stakes, an informal Residency Manager.com poll indicates many coordinators do not have clear guidance on which documents should stay and which can go. When asked whether their institutions have documentation retention policies, respondents reported:
41% have a policy
36% do not have a policy
21% do not know
2% are developing a policy
