Documentation strategy

HCPro's Weekly Update on the ANCC Magnet Recognition Program®*, May 23, 2006

To prepare for their third submission of written documentation for ANCC Magnet Recognition Program® (MRP) designation, Saint Joseph's Hospital of Atlanta, GA-a designated hospital since 1995-convened a small team of seven people eight months prior to the submission date. Their CNO was an active participant at the preparatory team meetings. She was an invaluable member, and the documentation became much more reflective of her leadership and influence than the previous two documentation sets were, according to Polly H. Willis, MSN, RN, MRP coordinator and director of the stroke center at Saint Joseph's. Rather than editing the documentation to make it fit the CNO's personality, the team constructed it with her input, greatly reducing editing time. In addition to the CNO, the team included

  • the director of education
  • a clinical nurse specialist (CNS) from surgical services (i.e., operating room)
  • the performance improvement coordinator
  • the director of patient safety and quality management
  • a CNS from medical/surgical services
  • the primary author

Among this group were professionals with diverse perspectives, experienced documentation writers, and published authors. They met two hours every other week, (six meetings in all), during which time the first rough draft of the document was developed.
