Ask the expert: Review the final written documentation

This week, a reader asks if a reviewer should edit the final written documentation. Read the response below from our advisor Barbara Hannon, RN, MSN, CPHQ, coordinator for the ANCC Magnet Recognition Program® at University of Iowa Hospitals and Clinics in Iowa City, IA.

Q: We just received our written documentation back from the printer. Should we have a reviewer edit it?

A: Most facilities agree that it is best practice to have the documentation reviewed for grammar, spelling, and formatting before it is bound. A final review can be done by an internal or external editor to ensure clarity. You should also consider having an editor review the documentation for content. Project directors who spend months absorbed in writing may be unable to look objectively at the content they have written. It is therefore advantageous to periodically have someone (a nurse or someone connected to nursing who has knowledge of the organization's culture) read or edit the content written by the project director or team of writers.
