PPV: Choose the legal health record format that’s right for your facility

It's important for your organization to decide which formats will make up its legal health record. The record can consist entirely of paper files or electronic files, but in most instances facilities deal with a hybrid record. In these cases, staff must manage both paper and electronic processes.

There is no single correct way to define your legal record. It depends on any existing state laws that require certain media or specific storage formats. Base your definition on how your organization uses the health record, as well as the associated work flows for accessing and updating the information in it. For instance, if you don't have enough workstations on the patient care units to access online information, then you may not want to define your legal health record as the electronic version.
