Because of space demands, many organizations must consider off-site storage. If you store your records with a vendor-managed off-site facility, be sure to ask the right questions to evaluate available vendors' attributes. Consider the following:
- How long has the company provided records storage?
- Does the firm have experience storing off-site records?
- For which other healthcare organizations does this vendor store records?
- Is there at least one AHIMA-credentialed individual who guides medical-record practice?
- Has the vendor's leadership served the healthcare record storage needs for at least 10 years?
- Does anyone in a leadership position have a health information or records management education?
