Q: Must our radiology group send a cover sheet with every radiology report we fax to referring physicians? Our group reads hundreds of x-ray films daily. Referring physicians complain that the cover sheets waste paper, but we want to be compliant with HIPAA.
A: A fax cover sheet protects information sent by fax that you may have sent to an incorrect number. If your transcription system automatically faxes reports to preprogrammed numbers for your referring physicians, it should send the reports in batches, so you can use just one fax coversheet per transmission.
If you have to manually enter the referring physician's fax number, use a coversheet with a disclaimer to protect the information. If possible, send reports in a batch transmission, so you use only one coversheet for the batch.
